The agency's instructions, Axtant's processing duties, and the no-training promise.

1. Agency instructions
These Data Terms apply when Axtant processes agency content and student data to provide the service. The agency is the controller or responsible organisation and Axtant acts as its processor or service provider for that data. The Terms, product settings, authorised user actions, and support requests are the agency's documented instructions.
2. Processing details
- Subject matter: worksheet ingestion, upload collection, OCR, mapping, automated marking, evidence validation, exception review, feedback release, cohort synthesis, communication, support, security, and deletion.
- Duration: the workspace term plus the retention and deletion periods in the published policy.
- People: agency owners, admins, tutors, students, and people named in support or billing records.
- Data: identity and roster details, assessment source evidence and approved question representations, guides, exemplars, student work, document observations, answer mappings, marks, feedback, calibration decisions, audit data, and operational metadata.
3. No-training promise
Axtant does not use customer worksheets, guides, exemplars, student submissions, OCR, marks, feedback, tutor overrides, or calibration records to train or fine-tune a shared model. Axtant does not permit a model provider to use that content for its own training.
Axtant may use de-identified operational measurements, deterministic test fixtures that contain no customer data, and an agency's own accepted decisions, including tutor-confirmed marks kept as marked examples, to improve that same agency's marking of the same questions. Calibration remains tenant-private and does not fine-tune a model.
4. Confidentiality and security
Axtant limits personnel and provider access to the work required to operate or support the service, imposes confidentiality duties, and maintains the controls described in the Security Overview. Axtant will notify the agency without undue delay after confirming a security incident affecting its agency data and will provide information reasonably needed for the agency's response.
5. Subprocessors and assistance
The agency authorises the subprocessors in the published Subprocessor List. Axtant remains responsible for their processing to the extent required by applicable law and contract. Axtant will post material changes before production use where practical.
Taking into account the nature of processing, Axtant will reasonably assist with data-subject requests, security information, deletion, export, and legally required impact assessments.
6. Return and deletion
On an eligible refund or verified workspace deletion, Axtant provides the stated short read-only export period, deletes operational workspace data on the published schedule, and allows encrypted backups to age out. Personal account deletion separately removes a person's sign-in after active workspace memberships and ownership duties have been cleared; it does not silently delete a workspace. Billing, fraud-prevention, audit, and legally required records are retained only for the stated purposes and periods.
